How much does it cost to build internal business software?

The real cost ranges for internal tools — and why every honest answer starts with 'it depends.'

There's no honest answer to 'how much does internal software cost?' without a defined scope. But there are honest ranges, and understanding what drives the range is more useful than a number anyway.

Rough ranges (US/EU dev rates, well-scoped)

  • Single-workflow internal tool: $25K–$75K
  • Multi-role tool with integrations: $75K–$200K
  • SaaS-like internal platform: $150K–$500K+
  • Enterprise system with compliance: $500K+

What moves the number

Number of integrations, number of user roles, regulatory requirements, data complexity, expected scale, and — most of all — how clearly the system has been specified before development. Vague specs get padded estimates. Tight specs get tight estimates. That's the entire economic argument for product architecture.
